GUIDE · UPDATED SEPTEMBER 2026
The UAE employment visa process, stage by stage
Seven stages, each with its own documents and deadline, and one thing that must happen before any of them: confirming you can actually sponsor the hire.
- MOHRE
- GDRFA / ICA
- Quota checks first
- Grace-period tracking
BEFORE STAGE ONE
Check you can sponsor the hire at all
The most expensive visa problems are the ones discovered three weeks in. Before a file opens, confirm the establishment has quota available and a valid establishment card. eHRMS blocks the file until both check out — which sounds restrictive until the first time it saves a candidate's start date.
The stages
-
Quota approval
Confirm the establishment can sponsor the role and nationality mix in question.
-
Work permit and entry permit
Issued so the employee can enter, or change status if already in the country.
-
Medical fitness test
Required for residence; results feed the next stage.
-
Emirates ID registration
Biometrics and issue, tracked per employee with its own expiry.
-
Labour card
Issued against the registered contract.
-
Residence visa stamping
Completes the residence status.
-
Contract registration
The MOHRE contract recorded with its terms and dates — limited or unlimited — and the file closed out.
Then it becomes a tracking problem
Once the visa is issued, the work shifts from process to vigilance. Every document has an expiry, they arrive in waves rather than one at a time, and each one is somebody's responsibility to notice.
- Passport, residence visa, Emirates ID, labour card and health insurance all expire on different cycles
- Renewals cluster — five hundred visas do not expire one per week
- Grace periods after cancellation need day-level tracking
- Professional licences add another expiry layer in regulated roles
- The trade licence and establishment card expire too — and freeze everything if missed
eHRMS keeps all of it in one register sorted soonest-first, with alerts at 90, 60, 30, 7 and 1 days from a job that runs every morning — see visa & immigration tracking.

Book a walkthrough and we'll take one of your real cases — a new hire, a payroll month, a visa renewal — and run it end to end in front of you. It takes about 45 minutes, and you'll leave with a clear yes or no.
