How to evaluate HR software for a UAE company
We sell an HRMS, so read this with appropriate suspicion. It is still the checklist we would want on the other side of the table — including the questions that are awkward for us.
THE PRINCIPLE
Test the edges, not the middle
Every HR system demos well on a clean full-time employee who joined on the first of the month. Nobody has a workforce made only of those. What separates systems is the awkward cases — and those are the ones a scripted demo is designed to avoid reaching.
Six scenarios to insist on

A mid-month joiner and a mid-month leaver
Pro-rated salary, part-month leave accrual, and correct inclusion in that month's WPS file.

A rejected WPS file
Give them a sample with a missing IBAN and one employee with no MOL ID. Ask them to show you what the system does. If it generates the file anyway, you have your answer.

A gratuity settlement with a part-year
Seven years and eight months, some unpaid leave, on basic — and ask which article each line comes from.

Overtime spanning a public holiday and midnight
Watch which multiplier lands on which hour.

An employee moving between two of your entities
Different licence, different MOL ID, service continuity preserved. This breaks more systems than anything else.

An inspection request
“Show me every expiring document across all entities, sorted by date, exportable.” Time how long it takes.
Questions worth asking every vendor — us included
- When a ministerial resolution changes a rate, who updates it, how fast, and is it billable?
- With four trade licences, do we get four WPS files from four payroll runs?
- Is Arabic the interface only, or contracts, payslips and the mobile app too?
- What does customisation cost after go-live, in writing?
- Where is our data hosted, and can we export all of it, in a standard format, on demand?
- Who answers support at 2 am on payday, and in which time zone are they sitting?
- Can you show me a per-entity Emiratisation ratio, calculated the way MOHRE assesses it?
- What is the total first-year cost including implementation, training and migration?
